FAQ

Common questions, answered honestly.

If you're about to download Talavine and want to know what you're agreeing to, this page is for you. No marketing dodges.

The basics

What is this, in one breath?

What does Talavine actually do?

Talavine brings your emails, documents, notes, and calendars together for smarter answers and useful work. Ask what changed, prepare for a client meeting, or have an AI helper draft a follow-up. Your saved information stays in Talavine when you change to another AI it supports.

Do I have to stop using Apple Mail, Outlook, or Thunderbird?

No. Talavine syncs over IMAP, so anything it does (reading, filing, flagging, sending) shows up in Apple Mail, Outlook, Thunderbird, eM Client, or whatever client you already use, and vice versa. Keep the client you love and run Talavine alongside it, or let it become the new one. Either way, everything that flows through it becomes knowledge you can ask about.

Can I use Talavine as my everyday AI chat?

Yes. Ask questions, continue saved conversations, and choose among supported configured models. Talavine finds relevant information in your hub to help with the question. Your saved sources and conversations remain in your profile when you switch AI. Models have different capabilities, and answers still need checking.

Can I bring existing AI conversations?

Yes. Imported Sources accepts ChatGPT export ZIPs or conversations.json, plus supported readable files through the general archive importer. Your configured AI makes imported material searchable; cloud AI may receive relevant excerpts. Optional file refresh watches an export file you replace yourself. Agent Library collectors are a separate option for supported signed-in accounts and may return incomplete recollections.

Can I take my data to a different AI?

Inside Talavine, change to another supported model while keeping your saved information and conversations. You can also export selected knowledge as readable Markdown and move a profile into another Talavine installation. Other AI apps have different import formats; a Talavine profile is not a universal chatbot backup.

What is an AI agent, and what can it do for me?

An AI agent is a helper you give a job, such as preparing a weekly client update or collecting information. Choose what it can use, when it should run, and when it must ask you first. The Agent Library includes collectors for supported AI accounts. What a helper can do depends on its connections and permissions; check its results and any missing information.

Do I need to know anything about AI?

Start with familiar things: your email accounts, documents, notes, and questions. The guided setup helps you connect a source and choose a supported AI. Some account connections need additional provider or administrator setup.

Who is this for?

People whose useful information is scattered: business owners, consultants, families, and anyone tired of gathering the same emails, documents, and notes before asking a question.

Privacy and trust

Where does my data go?

Will Talavine read my email?

Talavine synchronizes the accounts you authorize into your local profile. Configured cloud AI may receive relevant excerpts during processing and answering. You control your connections and AI settings; local storage does not mean that every operation stays on the computer.

Does my data get used to train AI?

Talavine never uses your data to train a model. Your Talavine profile and communication memory live on your machine. When you enable a cloud model, relevant request context is sent to the selected provider under your configured routing and privacy policy, and your agreement with that provider governs what they do with it. You choose which models can be used.

Can I run everything on my own machine?

Yes. Talavine can route work to a local model through Ollama for inboxes that should never leave the computer. Cloud models are an opt-in for jobs where quality is worth it.

What happens if I uninstall?

Your profile is an ordinary folder on your machine (under your local app data). Uninstalling the app doesn't erase your inbox or your custom trackers. They're yours to keep, copy, or delete.

Control

Will it do something I did not ask for?

Can an agent send email without my approval?

No, not by default. Agents draft. The send button is yours. You can promote a specific kind of message to auto-send after you trust the pattern, but nothing is auto-send out of the box.

Can an agent delete my mail?

No, not by default. Deleting, archiving, and rule changes are approval-gated. The agent can suggest what to clean up; you decide what actually goes.

How do I stop an agent?

Every agent has a pause toggle on the team dashboard. Pause stops new work immediately. You can also delete the role and start over without losing your inbox.

What if the agent gets it wrong?

Corrections become preferences. Mark a draft wrong, recategorize a sender, or flip an approval; the agent updates the way it judges similar things next time.

Cost

What does it cost to run?

Is the app free?

Yes, during the public preview. Download, install, connect an inbox. There's no paywall on the desktop app.

Do I need to pay an AI provider?

Only if you choose a cloud model. If you run a local model with Ollama, the only cost is your computer's electricity. You can mix: run private mail through local models and use a cloud key for the harder writing.

Can the bill get out of hand?

Two layers keep it in check, and both are yours to set. Spend Guard can cap daily AI spend, and each worker gets its own daily cloud budget: when a cap is reached, agents pause and tell you why instead of quietly running up a tab. And because cloud providers bill your API keys directly, set caps and alerts on the provider side too as a backstop.

Setup

How hard is it to get started?

Does it run on Mac and PC?

Yes. Talavine ships as a Windows desktop app and an Apple Silicon macOS app bundle for M-series Macs. You can start on one machine and pair another supported Windows PC or Mac over your local network later.

Do I need a powerful computer?

A normal modern laptop is fine for the app and for indexing your messages. Local models prefer more RAM and a recent GPU; cloud models work on anything.

Do I need a developer to install it?

No. Download the installer, run it, follow the welcome flow. Talavine can guide setup and repair common local AI, browser, OAuth, and firewall problems when it sees them.

What if connecting Gmail or Outlook breaks?

Outlook signs in with one click, and Gmail's guided setup takes about ten minutes. The app diagnoses common problems in plain English: if the network or sign-in fails, it explains what's wrong and what to click.

What if I want to leave?

Your data, drafts, and skills are local files. You can copy them, archive them, or move them to another machine. Leaving is as easy as quitting the app.

Still on the fence?

The fastest way to know is to install it, connect one mailbox, and watch what an agent prepares before you approve anything.
