The client cycle · Talavine, CRM and Code

“I'll send that proposal tonight.” The most expensive sentence in a one-person business.

Between “Saw your website” and “Left you a review” sit ten jobs, and your inbox, which was built to hold mail, is quietly faking all of them. Here's how Talavine, Talavine CRM and Talavine Code split the cycle so the client side of your business runs from one place you own.

Next release Marked pieces are built and arrive with the next release of Talavine, Talavine CRM and Talavine Code. They aren't in today's download or hosted CRM yet. Everything unmarked works now.

The ten-stage client cycle across Talavine, Talavine Code and Talavine CRM Ten stages run left to right, from Attract to Operate and learn, and loop back to Attract. Each row is a product. Stage by stage

Ten things you'd say out loud, and who picks up each.

Every stage starts with a sentence you'd actually say to the Assistant. Then you see which product takes it from there.

01Attract

“Turn the bathroom we just finished into a post before I forget I took photos.”

  • TalavineDrafts posts and outreach from the facts you give it. You read it before anything goes anywhere.
  • CRMMarketing helpers prepare content and recurring campaigns from your company's information, on your schedule and permissions.
  • CodeBuilds or updates your website, a landing page, or a small tool you'll actually use.

02Capture

“This stranger wants a quote. Send it to the CRM as a new inquiry.”

  • TalavinePuts your email accounts in one inbox. Log a message you sent or received to the CRM, or create the contact, in one step.
  • TalavineNext releaseSend to CRM as inquiry, from the message menu or by asking the Assistant. It creates the inquiry, a client case and a follow-up task once, even if you ask twice. Nothing is captured unless you ask, and it needs the sender's email address.
  • CRMKeeps contacts and companies with their notes and activity.

03Qualify & nurture

“Who's gone quiet on me this week? Draft a nudge for each.”

  • TalavineHelps you spot client threads with an unanswered question or an overdue promise, and drafts the follow-up. You read it and hit send.
  • CRMDeals and pipeline track each opportunity's stage, value and next step. Tasks keep the follow-up attached to the right client.

04Propose & close

“I told Dana I'd send the proposal tonight. Draft it, and tell me when she says yes.”

  • TalavineBriefs you before the call: the last thread, open commitments, the latest change and, with your CRM connected, the deal. Then drafts the proposal email from what you agreed.
  • CRMNext releaseThe proposal email carries a personal link. Your client accepts with a typed name, and the CRM confirms the sale. It's an acceptance record, not a legal e-signature. The link stops working once you send a newer version or it expires.

05Onboard

“Dana said yes. Welcome her and get what I need to start, minus the email scavenger hunt.”

  • CRMNext releaseDescribe your onboarding once and it becomes your template. When a client says yes, start onboarding yourself or ask the Assistant to: it prepares a welcome with a personal intake form and adds your checklist tasks. The client's answers are saved in their own words and never overwrite the contact details you already have.
  • TalavineOpen a Matter for the client, so their emails, files, people and notes share one workspace. Tasks and documents stay with it.

06Deliver

“Wait, did I promise that? What did we agree on scope, and what's still open?”

  • TalavineThe Matter keeps the chronology and a brief with sources you can check. Press Record and Talavine transcribes the meeting on your computer.
  • CRMTasks, orders and inventory stay next to the client they belong to.
  • CodeBuilds the software when software is the deliverable.
  • CodeNext releaseWhen the work's done, ask Code to hand it back. It adds a task in Talavine or a note on the client's CRM record, once, even if it has to retry.

07Communicate & support

“Is a client waiting on me and I just haven't noticed?”

  • TalavineOne inbox for your connected accounts, with replies drafted for you to check. Turn a message into a CRM support ticket without firing an automatic reply at the client.
  • CRMSupport tickets keep the client's history, priority and owner together.

08Invoice & collect

“Chase my invoices so I don't have to. Remind clients three days before they're due.”

  • CRMNext releaseIssue an invoice for finished work, or a deposit invoice when they accept. Each one gets its own number, and a mistake gets voided and reissued, never quietly edited. Send it, schedule reminders before, on or after the due date, and record the payment when it arrives. Reminders stop once it's paid or voided.
  • TalavineNext releaseA “Money owed” chip on Today shows what's still outstanding.

Invoicing, not bookkeeping. You set the amounts and any tax lines. Talavine doesn't keep your books, work out your taxes or collect card payments for you.

09Retain, review, refer

“Ask my happiest clients for a Google review before they forget how happy they were.”

  • CRMNext releaseSends a review request on the client's care schedule with your own review link, and records whether they left one. When a new inquiry came by referral, you can note who sent them.
  • TalavineDrafts the check-in that keeps a good client close.

10Operate & learn

“Show me where every client stands, without a dig through my inbox.”

  • TalavineToday starts your day with important mail, appointments, tasks and requests for your attention. The Assistant answers across your records and the CRM information your account can see.
  • TalavineNext releaseThe cycle as chips on Today's CRM card: New inquiries, Quiet leads, Awaiting yes, Getting started, Money owed, Ask for review and more. A chip with nothing in it stays hidden, and each one opens that list in your CRM.
  • TalavineNext releaseSet up a process by asking the Assistant, instead of hunting for a settings page.
  • CRMAI helpers take defined recurring jobs and bring you the decisions that need a person.

Settings pages are where good intentions go to die. Just say it.

Tell the Assistant “remind clients three days before an invoice is due” or “ask happy clients for a review.” It picks up the client, amounts and dates your emails and CRM already hold, asks you once for what it can't find, and saves the process in Review.

Setting up a process by asking You tell the Assistant the outcome. It fills in what your records already show, asks once for anything it cannot find, saves the process in Review, and every send waits for your approval until you tell that process it can go on its own. You say what you want to the Assistant It fills in what your records show inbox · CRM · past work It asks once for the rest one short question It saves the process in Review pause it anytime You approve each send until you say otherwise you answer in the chat Nothing sends, bills or asks for a review on its own until you tell that one process it may.
No form full of blanks. It won't ask for things your records already show, and it never guesses who's allowed to send what. That stays your call.

Review before autonomy.

Every send a process prepares, whether a welcome, an invoice, a reminder or a review request, waits for your approval. A process goes on its own only when you tell that process it can. Before the first one goes out, you approve its exact wording once in your CRM.

“Stop” means stop.

A client who unsubscribes or asks you to stop is left out of the reminders and requests these processes send. You can pause a process whenever you like.
